Export your lists, upload CSVs, review the mapping, and post opening balances on the existing InCite ledger.

Most opening conversions finish in about 60 seconds once the files are uploaded. Time varies with file size, review items, and how many lists you include.

How it works

  1. 1. Export

    Export the chart of accounts and trial balance from QuickBooks Online as CSV. Add customers and vendors when you have them.

  2. 2. Upload

    Drop the files into InCite. Classification uses headers and content, not the filename.

  3. 3. Analyze

    InCite parses UTF-8, quotes, parentheses negatives, and currency, then normalizes the lists.

  4. 4. Map

    Accounts map onto the existing chart with high, medium, or low confidence. Unknown types wait for a review dropdown.

  5. 5. Validate

    The trial balance must debit-equal-credit in integer cents. If it does not, import stops and the difference is shown.

  6. 6. Review

    Duplicates wait for Merge or Keep Separate. Tax and class columns are flagged, never applied silently.

  7. 7. Import

    You set the anchor date, then prepare, review, confirm, and post the opening journal on the same ledger.

Files

Required: chart of accounts and trial balance. Recommended: customers and vendors. Later lists such as invoices and bills are classified when present, but they are not required now.

Mapping

Each account receives high, medium, or low confidence. InCite does not invent an accuracy percent. Hierarchy is kept. Unknown types stay in a review dropdown.

Trial balance

Debits must equal credits in integer cents. If they do not, the difference is shown and import stops.

Opening balances

You set the anchor date. InCite prepares Opening Balances — Migration from External Accounting System, then you review, confirm, and post. The entry locks after post.

Duplicates and review

Possible duplicates are flagged. You choose Merge or Keep Separate. Readiness is Ready, Review Required, or Cannot Import.

Security

Imports require sign-in and stay on that organization. Raw CSVs are not published. Temporary file contents are removed after import; metadata and hashes remain for audit.

Questions

Which files are required?
Chart of accounts and trial balance are required. Customers and vendors are recommended. Invoices and bills are recognized but not required for this conversion.
How long does it take?

Does InCite invent a balancing plug?
No. If the trial balance is out of balance, import stops and the difference is shown in dollars.
Does this recreate bank connections?
No. Connect bank feeds in InCite after the books are in. CSV import does not recreate bank connections.
Can a firm start this for a client?
Yes. An accountant who can open that client's books can start the conversion. Sessions stay isolated to that organization.
Who pays for InCite?
Clients pay unless the firm chooses to cover the client subscription.
